Welcome to Travel Vaidya. These Terms & Conditions apply to all bookings, quotations, tour packages, travel services, website use, and communication made with Travel Vaidya.

By using our website, requesting a quotation, making a payment, confirming a booking, or travelling with us, you confirm that you have read, understood, and accepted these Terms & Conditions along with the applicable itinerary, inclusions, exclusions, payment policy, cancellation policy, refund policy, and any other written communication shared by Travel Vaidya.

  1. Booking Confirmation

  • A booking with Travel Vaidya is considered confirmed only after the required advance payment has been received and written confirmation has been shared by our team.
  • A quotation, itinerary, website package, WhatsApp message, phone discussion, or email proposal does not by itself confirm any hotel, vehicle, helicopter seat, flight ticket, train ticket, or other travel service.
  • All services are subject to availability at the time of actual booking. Once the traveller accepts the quotation and pays the advance amount, Travel Vaidya starts processing the reservation with hotels, transport providers, helicopter operators, airlines, or other service partners.
  • If we are unable to confirm any essential service after receiving the advance payment, we will either offer a suitable alternative or refund the amount received for the unavailable service, as applicable.
  1. Pricing and Validity

  • All prices mentioned on our website, quotations, brochures, advertisements, or messages are in Indian Rupees unless specifically mentioned otherwise.
  • Prices mentioned for tour packages are applicable only to Indian nationals unless clearly stated in writing.
  • Package prices are based on the cost of hotels, vehicles, fuel, taxes, permits, guide charges, helicopter services, supplier tariffs, and other travel-related expenses available at the time of quotation.
  • Prices may change due to fuel price increases, government tax revisions, permit fee changes, hotel tariff changes, transport union rate changes, aviation charges, or any other cost increase beyond our control. In such cases, Travel Vaidya reserves the right to revise the package cost after informing the traveller.
  • A quotation is valid only for the period mentioned in the quotation. If no validity period is mentioned, the quotation should be treated as subject to availability and price change at the time of booking.
  1. Payment Terms

  • The traveller must make the payment as per the payment schedule communicated at the time of booking.
  • The advance payment is required to start the booking process. The balance payment must be cleared before the tour starts or as per the written payment terms shared by Travel Vaidya.
  • Travel documents, vouchers, hotel details, driver details, helicopter reporting details, or final confirmation documents may be shared only after the required payment has been received.
  • Failure to make payment within the agreed timeline may result in cancellation, price revision, hotel release, vehicle release, or loss of confirmed services.
  1. Availability of Services

  • All hotels, rooms, vehicles, helicopter seats, flights, train tickets, guides, permits, and local services are subject to availability.
  • If the originally selected hotel, room category, vehicle, or service is unavailable due to overbooking, maintenance, operational issues, road conditions, weather, government restrictions, or any other reason, Travel Vaidya may provide a similar or higher-category alternative wherever reasonably possible.
  • The traveller understands that in remote Himalayan locations, especially during Char Dham Yatra, Kedarnath, Badrinath, Yamunotri, Gangotri, Harsil, Joshimath, Sersi, Phata, Guptkashi, and other hill regions, service standards may differ from city hotels due to location, weather, altitude, limited infrastructure, and seasonal pressure.
  1. Hotel Accommodation

  • Hotel accommodation will be provided as per the category mentioned in the confirmed quotation or itinerary.
  • Unless specifically mentioned in writing, base category rooms will be booked in the hotels.
  • Room allocation, floor allocation, view, room size, bedding type, and room location are subject to hotel policy and availability. Travel Vaidya can place requests with the hotel, but final allocation remains at the discretion of the hotel.
  • Hotel photographs shown on the website, quotation, or marketing material are for representation purposes. Actual rooms may vary in size, layout, furnishing, view, or appearance.
  • Standard hotel check-in and check-out timings are governed by the hotel. Early check-in and late check-out are subject to availability and may involve additional charges payable directly by the traveller.
  • Breakfast is usually provided from the morning after the first night’s stay. Hotels generally do not provide breakfast on the day of arrival unless specifically included.
  • Extra beds may be provided as a rollaway bed, sofa bed, or mattress depending on hotel policy. If the traveller has a specific preference, it should be communicated before booking.
  1. Kedarnath and Remote Area Accommodation

  • Accommodation in Kedarnath and some remote Himalayan areas is basic due to high altitude, difficult terrain, limited electricity, limited water supply, weather conditions, and restricted infrastructure.
  • Luxury or deluxe facilities are generally not available in Kedarnath. Accommodation may be provided in basic hotels, guest houses, camps, lodges, dormitory-style rooms, or bed-based arrangements depending on the package and availability.
  • Travellers should not compare Kedarnath or remote pilgrimage accommodation with city hotels, resort stays, or luxury properties.
  1. Vehicle and Transport Terms

  • Vehicles are provided strictly as per the confirmed itinerary and agreed route.
  • The package includes vehicle usage for transfers and sightseeing points mentioned in the confirmed itinerary only.
  • Additional sightseeing, off-route visits, route diversions, repeated visits to the same place, extra waiting, late-night usage, or destination changes may attract additional charges.
  • Places such as Triyuginarayan, Chopta, Auli, Neelkanth Mahadev, Lakhamandal, Mana Village, or any other off-route location are included only if clearly mentioned in the confirmed itinerary.
  • The vehicle cannot be used as a local taxi on disposal unless the package specifically mentions disposal-based vehicle service.
  1. Hill Road and Driver Guidelines

  • Drivers are required to follow traffic rules, local administration orders, hill driving safety practices, and road safety guidelines.
  • Drivers cannot be forced to drive on unsafe roads, narrow lanes, no-entry roads, restricted roads, landslide-prone roads, or roads closed by the authorities.
  • Night driving may not be allowed or advisable in many hill regions due to safety risks, weather conditions, road conditions, wildlife movement, local restrictions, or administration advisories.
  • The normal duty hours of drivers are limited for safety reasons. If extended usage is required, it must be discussed with Travel Vaidya in advance and may involve additional charges.
  • Air conditioning may not work effectively in hill areas, steep climbs, traffic jams, or while the vehicle is stopped or parked. This is a common limitation in mountain routes and should not be treated as a vehicle defect.
  1. Pickup and Drop

  • Unless clearly mentioned otherwise, the package includes one pickup point and one drop point only.
  • Multiple pickups, multiple drops, airport waiting, railway station waiting, hotel-to-hotel transfers, or additional city transfers must be informed before booking and may involve extra charges.
  • The traveller must report at the pickup point on time. Delays caused by late reporting may affect the itinerary, sightseeing, hotel check-in, darshan timing, helicopter reporting, or onward travel.
  1. Sightseeing Terms

  • Sightseeing will be covered as per the confirmed itinerary, subject to road conditions, weather, traffic, local restrictions, opening hours, government orders, security restrictions, and available time.
  • Some sightseeing points, temples, markets, or roads may remain closed without prior notice due to weather, festivals, maintenance, VIP movement, crowd control, landslides, government orders, or local conditions.
  • No refund shall be provided if a sightseeing point cannot be covered due to circumstances beyond the control of Travel Vaidya.
  • At many hill stations and pilgrimage destinations, tourist vehicles may not be allowed near temples, markets, Mall Roads, trekking points, or sightseeing locations. In such cases, travellers may need to walk or use local transport at their own cost.
  • Vehicle parking areas may be located away from the actual sightseeing point, temple, market, or attraction. Travellers should be prepared for walking wherever required.
  1. Itinerary Changes

  • Any request to change the travel date, route, hotel, vehicle, destination, pickup point, drop point, number of travellers, room requirement, or sightseeing plan must be submitted in writing.
  • All changes are subject to availability, supplier approval, operational feasibility, and applicable charges.
  • Date changes in flights, trains, helicopter tickets, hotels, or other booked services may be treated as cancellation and rebooking as per the respective supplier policy.
  • Travel Vaidya does not guarantee that any requested amendment can be accepted after booking confirmation.
  1. Traveller Information and Documents

  • Travellers must provide accurate names, ages, gender, contact numbers, email addresses, identity details, and any other information required for booking.
  • Every traveller must carry a valid government-issued photo identity proof during the journey. PAN Card is not accepted as valid identity proof for hotel check-in, airport checks, helicopter reporting, or many travel-related verifications.
  • For international travel, passport validity, visa, immigration requirements, travel insurance, and destination-specific rules are the sole responsibility of the traveller unless specifically included in the service.
  • Any loss caused due to incorrect passenger details, invalid documents, missing identity proof, or failure to follow documentation requirements shall be the responsibility of the traveller.
  1. Health, Fitness, and Medical Responsibility

  • Many Travel Vaidya tours, especially Char Dham Yatra, Kedarnath Yatra, Yamunotri Yatra, Do Dham Yatra, high-altitude tours, trekking routes, and winter destinations, involve mountain roads, long travel hours, walking, altitude change, weather variation, and physical exertion.
  • Travellers, especially senior citizens, children, pregnant women, and guests with heart conditions, breathing issues, blood pressure problems, diabetes, mobility limitations, recent surgery, or any medical condition, should consult their doctor before booking or travelling.
  • The traveller is responsible for ensuring that they are medically fit for the selected tour.
  • Travel Vaidya does not provide medical advice and shall not be responsible for health complications, altitude sickness, fatigue, injury, medical emergencies, or any condition arising during the journey.
  • Any medical treatment, evacuation, ambulance, additional stay, route change, or emergency expense shall be borne by the traveller.
  1. Helicopter Tour Terms

  • Helicopter tours operate strictly subject to weather conditions, visibility, air traffic clearance, aviation permissions, technical clearance, government orders, operator schedules, passenger weight limits, baggage rules, and safety instructions.
  • Flying schedules may change at short notice due to Himalayan weather, air traffic, technical reasons, VIP movement, operational congestion, or instructions from aviation authorities.
  • Travel Vaidya does not control helicopter flying permissions, flying sequence, flight timing, shuttle movement, aviation clearance, or weather-related decisions.
  • Passengers must follow baggage limits, weight limits, reporting time, safety briefing, and instructions given by the helicopter operator.
  • If a passenger is denied boarding due to excess baggage, incorrect weight declaration, late reporting, safety violation, medical concern, or failure to follow operator instructions, Travel Vaidya shall not be responsible for the loss.
  • Helicopter delays, cancellations, additional nights, route changes, or missed services due to weather or operational reasons shall be handled as per the policy of the respective helicopter operator and the confirmed package terms.
  1. Travel Insurance

  • Travel insurance is strongly recommended for all travellers, especially for Char Dham Yatra, helicopter tours, senior citizen travel, adventure tours, high-altitude tours, and long-duration journeys.
  • Unless specifically mentioned in the package, travel insurance is not included in the tour cost.
  • Travel Vaidya shall not be responsible for expenses related to medical emergencies, evacuation, baggage loss, trip interruption, flight cancellation, accident, hospitalisation, or any other loss that could have been covered under travel insurance.
  • Travellers are advised to purchase suitable insurance coverage before the tour.
  1. Communication During Tour

  • Official communication may be shared through WhatsApp, phone call, SMS, or email using the contact details provided by the traveller.
  • The traveller is responsible for providing correct contact details and checking messages, calls, reporting instructions, vouchers, hotel details, driver details, and schedule updates.
  • In remote hill areas, mobile network and internet connectivity may be weak or unavailable. Travellers should cooperate with the team in such situations and follow the latest instructions shared by Travel Vaidya or local service providers.
  1. On-Tour Support and Complaint Reporting

  • Travel Vaidya makes reasonable efforts to provide support during the tour.
  • If a traveller faces any issue related to hotel, vehicle, driver, meals, sightseeing, coordination, or any other service, the traveller must inform Travel Vaidya immediately during the tour.
  • Timely reporting allows our team to check the issue and take corrective action wherever possible.
  • Complaints raised only after the completion of the tour may limit our ability to verify facts, speak to vendors, inspect the service, or provide an effective solution.
  1. Weather, Road Conditions, and Force Majeure

  • Travel Vaidya shall not be held responsible for delays, changes, cancellations, additional expenses, missed sightseeing, missed connections, or service disruptions caused by circumstances beyond our reasonable control.
  • Such circumstances may include bad weather, landslides, roadblocks, floods, heavy snowfall, earthquakes, forest fires, natural disasters, flight cancellations, helicopter cancellations, government restrictions, political unrest, curfews, strikes, technical failures, traffic jams, accidents, pandemics, epidemics, VIP movement, temple crowd control, route closures, or any other unforeseen situation.
  • In such cases, the itinerary may need to be changed for safety, operational, or administrative reasons.
  • Any additional cost for extra hotel nights, meals, vehicle usage, route change, permit, local transport, flight change, helicopter change, or other arrangements shall be borne by the traveller unless specifically covered by the service provider or package terms.
  1. Unused Services and No-Show

  • No refund shall be provided for unused services if the traveller voluntarily does not use them.
  • This includes unused hotel nights, meals, sightseeing, transfers, vehicle usage, darshan arrangements, guide services, or any other included service.
  • No refund shall be provided for no-show, late arrival, early departure, missed pickup, missed flight, missed train, missed helicopter reporting, or services missed due to the traveller’s own delay or personal decision.
  1. Cancellation and Refunds

  • Cancellation charges shall apply as per the cancellation policy communicated at the time of booking.
  • Different services such as hotels, vehicles, flights, trains, helicopter tickets, permits, and special arrangements may have different cancellation rules.
  • Refunds, if applicable, shall be processed only after receiving refunds from the respective service providers wherever relevant.
  • Bank charges, payment gateway charges, convenience fees, permit charges, government fees, and non-refundable supplier charges may be deducted from the refund amount.
  • No refund shall be provided where cancellation or service failure occurs due to circumstances beyond the control of Travel Vaidya, unless the respective supplier provides a refund under its policy.
  1. Third-Party Services

  • Travel Vaidya acts as a travel organiser and facilitator. We coordinate services through hotels, transporters, airlines, helicopter operators, local vendors, guides, activity providers, and other independent service providers.
  • Although we make reasonable efforts to work with reliable partners, Travel Vaidya does not directly own or control every hotel, vehicle, aircraft, restaurant, temple system, road condition, parking area, or local facility used during the tour.
  • Any delay, deficiency, accident, cancellation, operational decision, service limitation, misconduct, or failure caused solely by a third-party service provider shall be subject to investigation and the policy of the concerned provider.
  • Travel Vaidya will assist the traveller wherever reasonably possible, but our liability shall remain limited as mentioned in these Terms & Conditions.
  1. Traveller Conduct

  • Travellers are expected to behave respectfully with drivers, hotel staff, ground coordinators, local vendors, temple authorities, other travellers, and Travel Vaidya team members.
  • Travel Vaidya reserves the right to refuse or discontinue services without refund if any traveller behaves abusively, threatens staff, violates local laws, damages property, creates a safety risk, consumes illegal substances, harasses others, or repeatedly refuses to follow safety instructions.
  • Any damage caused to hotel property, vehicle, equipment, or third-party property shall be payable by the traveller directly.
  1. Lost, Stolen, or Damaged Belongings

  • Travellers are responsible for their own luggage, cash, jewellery, phones, cameras, documents, medicines, valuables, and personal belongings.
  • Travel Vaidya shall not be responsible for loss, theft, misplacement, or damage of personal belongings during the tour, hotel stay, vehicle travel, temple visit, trekking route, helicopter movement, or sightseeing.
  • Travellers are advised not to leave valuables unattended in vehicles, hotel rooms, public areas, or shared spaces.
  1. Photography, Videos, and Reviews

  • Travel Vaidya may take photographs or videos during tours for documentation, guest memories, service verification, and promotional purposes.
  • Travellers may also voluntarily share photographs, videos, testimonials, or reviews with Travel Vaidya.
  • Unless the traveller specifically requests otherwise in writing, Travel Vaidya may use such content on its website, social media pages, advertisements, brochures, and marketing platforms.
  • Personal contact details, identity documents, payment details, or private information will not be shared publicly without consent.
  1. Website Content and Package Information

  • Travel Vaidya makes reasonable efforts to keep website content, package details, prices, hotel names, itineraries, inclusions, exclusions, and travel information accurate and updated.
  • However, travel information may change due to government orders, seasonal changes, supplier updates, route changes, weather conditions, or operational reasons.
  • Any typographical error, pricing error, incorrect image, outdated detail, or unintentional omission on the website shall not create a binding obligation on Travel Vaidya.
  • The final confirmed quotation and written booking communication shall prevail over general website information.
  1. Intellectual Property

  • All website content, including text, images, itineraries, graphics, logos, designs, brand names, package descriptions, and marketing material, is the intellectual property of Travel Vaidya unless otherwise stated.
  • No person or business may copy, reproduce, modify, republish, distribute, or commercially use our content without written permission from Travel Vaidya.
  1. Limitation of Liability

  • Travel Vaidya’s responsibility is limited to arranging the services confirmed in writing as part of the booking.
  • Travel Vaidya shall not be liable for indirect, incidental, consequential, emotional, financial, or business losses arising from delays, cancellations, missed flights, missed trains, missed meetings, health issues, weather disruptions, roadblocks, third-party failures, or circumstances beyond our control.
  • Where liability is legally established, the maximum liability of Travel Vaidya shall be limited to the amount paid to us for the affected service only.
  1. Right to Refuse or Cancel Service

  • Travel Vaidya reserves the right to refuse, cancel, or discontinue any booking or service if the traveller provides false information, fails to make payment, violates these Terms & Conditions, behaves inappropriately, creates operational risk, or if providing the service becomes unsafe, impossible, unlawful, or commercially unviable.
  • If Travel Vaidya cancels a service due to reasons within its control, an appropriate refund or alternative will be offered as per the booking terms.
  1. Legal Jurisdiction

  • These Terms & Conditions shall be governed by the laws of India.
  • Any dispute, claim, or legal proceeding arising out of the website, booking, payment, tour service, or communication with Travel Vaidya shall be subject to the exclusive jurisdiction of the competent courts located in Dehradun, Uttarakhand.
  1. Acceptance of Terms

  • By requesting a quotation, making a payment, confirming a booking, or travelling with Travel Vaidya, the traveller confirms that they have read, understood, and accepted these Terms & Conditions.
  • The traveller also confirms that the selected tour package, itinerary, hotel category, vehicle type, price, inclusions, exclusions, cancellation terms, and travel conditions have been reviewed and accepted before booking.
